Via the registration form: registration is carried out from the event website by completing a registration form with the requested information and attaching any required documents. When completing this form we also request permission to send commercial communications from our company and from the companies listed in Annex I.

When registration requires payment, the payment process is handled by a third party, which means EVENTISIMO SLU will not have access to your bank details; we only receive confirmation that the payment has been made.

In contacts after the registration request: if necessary, we may contact the registrant to request additional information or clarifications regarding the information provided in the registration.

During the event: you may interact with us during the event and provide additional information. When you check in to different sessions we will record information about your attendance and participation.

Queries, complaints and claims: we provide various channels on the website to contact us for any additional queries, complaints or claims; in such cases we will collect the information necessary to resolve your query or process your claim.

When you subscribe to our newsletter: when you sign up to receive our newsletter.

Please note that EVENTISIMO SLU, in order to promote the events and activities it organises or collaborates in, may capture images and/or video of participants at the event. This image capture may be carried out by EVENTISIMO SLU directly or by contracted third parties. This data processing is based on legitimate interest. Captured material may be published on the internet, EVENTISIMO SLU or event websites, social media pages, magazines and publications, and by the companies listed in Annex I.

Such activity does not entitle the subjects who may occasionally appear in the recordings to any remuneration or benefit.

When registration is completed, the participant receives accreditation that includes a QR code. This QR code will grant access to the facilities and to the activities in which the participant takes part.

Exhibitors to whom you allow scanning of your accreditation will receive basic contact information about you, specifically: name, surname, contact details, company you work for and your job title.

Some scheduled sessions allow attendees who wish to do so to share their data with the organisations offering or participating in that session; to do so, attendees simply need to present their QR accreditation when entering the session. Accreditation will be required for identification but it is not a condition for accessing the session. You can access and update the information linked to your accreditation via the event website.

Your data will be processed for the duration of the registration process. Once registration is confirmed, data will be processed until the end of the event.

Data related to payment of the registration will be kept for as long as necessary to comply with tax obligations.

If we have your consent to send communications, we will retain your data until you indicate that you no longer wish to receive them, or until 5 years have passed since your last interaction with us. Please note that all newsletters and commercial communications include a one-click unsubscribe link.

In any of the above situations, once the retention periods have ended, the data will be archived and blocked for the legally required period to defend against possible claims and to comply with any legal obligations that may have arisen.

Your personal data will be processed by EVENTISIMO SLU staff and by the companies listed in Annex 1. Disclosure to public authorities will occur only where required to comply with legal obligations.

As explained in the "Use of the accreditation" section, when a participant authorises an exhibitor to scan the accreditation QR code, EVENTISIMO SLU will provide the exhibitor or the promoter of a specific activity with the basic contact details contained in a business card.

If we process your data, you should know that you have the following rights:

• Right to request access to personal data: you may ask EVENTISIMO SLU whether your data is being processed and access it.
• Right to request rectification if the data is inaccurate, or to complete any incomplete data we hold.
• Right to request deletion of your data.
• Right to request restriction of processing.
• Right to object to processing: EVENTISIMO SLU will stop processing personal data unless processing must continue for reasons provided by law.
• Right to data portability: if you want your data to be processed by another data controller, EVENTISIMO SLU will facilitate the transfer of your data to the new controller.
• Right not to be subject to a decision based solely on automated processing of your personal data.

At EVENTISIMO SLU we process data on the basis of consent and you have the right to withdraw your consent at any time, without affecting the lawfulness of processing carried out prior to the withdrawal.

EVENTISIMO SLU events are aimed at professionals of legal age; minors should not submit illicit or incorrect information. If you registered for an event, the data we will process are those you provided to us. The registrant must always provide truthful personal information and update their personal data as they change, since we must have up-to-date information.

Users must not include personal data of third parties without obtaining their prior consent and informing them of this privacy policy; the user is solely responsible for the lawfulness of the data provided.

We will only use your personal data as set out in this document that is in force at the time we collect your information. If EVENTISIMO SLU makes changes to the processing of your data, we will inform you accordingly.
